Terms of Service

The service

DentalFlow builds and operates custom automation workflows for dental practices, including appointment reminders, online scheduling, recall campaigns, waitlist management, follow-up sequences, and review requests. The specific scope for your practice is defined during onboarding after your free automation audit.

Pricing and payment

• One-time setup fee: $500
• Monthly service: $1,500 per month, billed monthly
• 6-month prepaid package: $4,000, paid upfront, covering 6 months of service

Monthly plans renew automatically each month until cancelled. Fees are due at the start of each billing period.

60-day no-show guarantee

If your practice does not see a 40% reduction in no-shows within 60 days of go-live, you may request a full refund of fees paid. The reduction is measured against your no-show rate for a comparable period before go-live, which we document with you during onboarding. To claim the guarantee, contact us within 14 days after the 60-day period ends.

Cancellation

Monthly plans can be cancelled at any time with notice before the next billing date; service continues through the end of the paid period. Prepaid packages are non-refundable after the guarantee period, except as required by law.

Your responsibilities

You agree to provide accurate information during onboarding, maintain any required access to your practice management software, and use the service in compliance with applicable law, including patient communication rules such as the TCPA. Message templates are provided as starting points; you are responsible for the content you approve.

Patient data and HIPAA

Where our services involve protected health information, we sign a Business Associate Agreement with your practice and handle that data in accordance with HIPAA. See our HIPAA Compliance page.

Intellectual property

We retain ownership of our automation frameworks, templates, and tooling. You retain ownership of your practice data and any content you provide. On termination, we return or delete your data on request.

Disclaimers and limitation of liability

Except for the guarantee described above, the service is provided as-is. Results depend on factors specific to your practice, and outcomes beyond the guaranteed no-show reduction are estimates, not promises. To the maximum extent permitted by law, our total liability is limited to the fees you paid in the 6 months before the claim arose.

Governing law

These terms are governed by the laws of the State of Illinois.
